Temporary Inventory and Facilities Coordinator

 

Status: Full-time (35-40 hours/week)

Salary: $17.00/Hour

Duration: 8-12-week position beginning mid-August

Schedule: Monday – Friday, approximately 7:30 am – 3:30 pm & some Tuesday evenings 4:00 – 8:00 pm

Reports to: Operations Manager

Position Overview:

The Marketplace Inventory & Facilities Coordinator is responsible for overseeing food inventory—including ordering, tracking deliveries, and storage—while ensuring the overall maintenance and safety of the organization’s buildings, grounds, and vehicles.

Core Responsibilities

​

Inventory Management

  • Stock Management: Manage food inventory following USDA guidelines, using the First-in, First-out (FIFO) method. Accurately track how much food is needed and complete weekly orders through Channel One, staying within the board-approved budget.

  • Deliveries & Pick-ups: Track and schedule delivery trucks and coordinate donation pick-ups from local stores using volunteers as needed.

  • Reporting: Properly track all food coming in, both purchased and donated food, and all food going out the back door as waste or giveaways.

  • Collaboration: Partner with the Marketplace Coordinator to follow a planned food rotation schedule while prioritizing First In First Out procedures.

  • Volunteer Management: Utilize volunteer assistance as necessary, including helping break down pallets of food and storing food in the proper location, examining quality of food before it goes on the floor, repackaging food, and other work as necessary. Provide projects for groups of volunteers to help with in the Marketplace.

  • Storage Management: Maintain an organized, safe, and clean storeroom that follows all TEFAP and OSHA requirements.

 

Facilities & Maintenance

  • Building & Equipment: Ensure all equipment is properly maintained and that buildings are kept in proper repair.

  • Sanitation: Maintain a clean, healthy, and safe environment throughout the facility, utilizing volunteer help as available.

  • Recycling: Manage recycling bins as needed, utilizing volunteer assistance when available.

  • Groundskeeping: Keep the grounds well-maintained and safe for all customers and staff.

  • Snow Removal: Partner with 3rd party snow removal service to ensure snow is removed in a timely manner, and all staff and visitors can stay safe in the parking lot, driveway, and sidewalks.

  • Vehicle Care: Ensure all company vehicles are properly maintained and safe for use.

Qualifications & Requirements

  • Education: High school diploma or equivalent.

  • Skills: Strong computer skills, including Microsoft Office (Word, Excel, Outlook), and experience with inventory tracking and reporting.

  • Interpersonal: Ability to de-escalate challenging situations and maintain positive relationships with staff, volunteers, and the board.

  • Legal: Valid Minnesota driver’s license with an excellent driving record and proof of insurance. CDL or large truck experience is preferred, but not necessary.

 

Physical Demands

  • Requires standing and walking for 6–8 hours per day.

  • Must be able to lift up to 50 lbs.

  • Regularly required to stoop, bend, and reach overhead.

Organizational Responsibilities and Other Duties, as needed or as assigned:

  • Assist with food distribution with safety, respect, dignity, and good service.

  • Responsible for developing and maintaining positive, effective working relationships with fellow staff, volunteers, and board members.

  • Maintain a safe and neat work area and follow all safety and hygiene guidelines.

  • Ensure a welcoming environment to members, volunteers, donors, and other visitors, treating everyone with dignity and respect.

  • Submit time sheets, expense reports, and other required documentation in a timely manner.

  • Attend and participate in relevant staff and/or board and committee meetings.

  • Fulfill all other duties as assigned.
